Repair Authorization & Terms and Conditions

These terms govern repair, diagnostic, maintenance, roadside, and mobile services performed by PTI Truck Repair LLC. Customers review and accept these terms as part of the digital repair authorization before work begins.
1. Authorization to Diagnose
- The customer authorizes PTI Truck Repair LLC ("PTI") to inspect, scan, test, diagnose, and perform reasonably necessary diagnostic procedures on the vehicle or equipment.
- Diagnostic services are billable and payable whether or not the customer authorizes the recommended repair.
- Diagnostics may require reasonable disassembly, removal of components, electrical testing, pressure testing, road testing, computer scanning, or other procedures.
- PTI does not guarantee that every existing or future defect will be discovered during diagnosis.
2. Repair Authorization
- PTI will perform work authorized by the customer or the customer's authorized representative.
- Authorization may be documented through a signed work order, electronic approval, text message, email, documented telephone authorization, or another method reasonably demonstrating approval.
- An authorized employee, driver, fleet manager, dispatcher, or representative of a commercial customer may authorize work when that person reasonably appears to have authority to act for the customer.
3. Estimates
- Estimates are based upon information reasonably available at the time they are prepared.
- An estimate is not a guaranteed final price unless PTI specifically states in writing that it is a fixed price.
- Additional defects may be discovered during diagnosis, testing, disassembly, or repair.
- PTI will obtain additional authorization for material additional repairs beyond the authorized scope when required.
- Taxes, shop supplies, environmental charges, freight, programming, diagnostic charges, travel, mileage, towing, subcontracted services, and similar applicable charges may be additional.
4. Diagnostics
- Vehicle and equipment diagnostics involve professional judgment based upon symptoms, testing, fault codes, operating conditions, and the condition of the vehicle when inspected.
- A diagnostic recommendation does not guarantee that a recommended repair will correct every symptom or condition.
- Multiple failures may produce identical or similar symptoms or fault codes.
- Repairing one confirmed defect does not guarantee another existing or future defect will not produce the same or similar symptoms.
- Intermittent problems that cannot be duplicated may require additional diagnostic time.
5. Disassembly
- Some defects cannot be identified without disassembly.
- If additional problems are discovered after disassembly and the customer declines additional repairs, the customer remains responsible for diagnostic and labor charges already incurred and reasonable reassembly charges.
- PTI is not required to reassemble a vehicle or component into a condition PTI reasonably considers unsafe or mechanically improper.
6. Declined Repairs
- PTI may identify additional problems unrelated to the repair originally requested.
- If a customer declines recommended repairs, PTI is not responsible for subsequent failure, damage, downtime, or other losses caused by the declined condition or continued vehicle operation, except where otherwise required by law.
- PTI may document declined repairs on the work order and invoice.
- PTI may refuse to perform or continue work that PTI reasonably believes would create an unsafe or unlawful condition.
7. Customer-Supplied Parts
- PTI may refuse to install customer-supplied parts.
- If PTI agrees to install them, PTI provides no warranty on the customer-supplied part itself.
- The customer is responsible for additional labor resulting from incorrect, incompatible, incomplete, or defective customer-supplied parts.
- Labor to diagnose, remove, or replace a failed customer-supplied part is billable.
- PTI is not responsible for delays or failures caused by customer-supplied parts except to the extent required by applicable law.
8. Used, Rebuilt, Remanufactured and Aftermarket Parts
- Used, rebuilt, remanufactured, aftermarket, or salvage components are subject to the applicable supplier or manufacturer's warranty, if any.
- PTI does not independently guarantee the remaining service life of these components unless PTI expressly agrees otherwise in writing.
9. Removed Parts
- Unless requested by the customer before completion of the repair, replaced components may be discarded, recycled, returned for core credit, or returned to the supplier/manufacturer when required.
- Parts requiring a core return may not be available to return to the customer.
10. Road Testing
- The customer authorizes PTI employees or authorized contractors to operate and road-test the vehicle when reasonably necessary for diagnosis, repair verification, inspection, movement, or delivery.
- PTI will exercise reasonable care while operating the vehicle.
11. Mobile and Roadside Service
PTI performs service at the customer's yard, terminal, jobsite, parking location, or breakdown location. The following terms apply to all mobile and roadside service.
11.1 Nature of mobile service
- Mobile and roadside repairs may occur under conditions different from those available in a fully equipped repair facility.
- A mobile or roadside repair does not guarantee that the vehicle is free from additional defects or will continue operating for any particular distance or period.
- Some repairs cannot be performed safely or correctly in the field. PTI will advise the customer when a repair requires facility-based equipment, and the customer remains responsible for arranging towing or transport in that case.
11.2 Dispatch, travel, and mileage
- A service-call or dispatch charge may apply to each mobile visit. PTI will confirm applicable service-call and travel charges before dispatch when required.
- Travel and mileage may be charged based on distance, drive time, or both, as disclosed before dispatch or on the applicable estimate, work order, or invoice.
- Travel is not free unless PTI expressly states in writing that travel is included for a specific visit or account.
- Dispatch, travel, mileage, diagnostic, and labor charges remain payable for services performed even when the vehicle cannot be repaired at its location.
- Work performed between 6:00 PM and 7:00 AM, and work performed on days or at times identified as after-hours on the applicable estimate, work order, or invoice, may be billed at a premium labor rate.
11.3 Waiting time
- Waiting time may be charged at the applicable labor rate when a technician has arrived and is unable to begin or continue work for reasons outside PTI's control. That includes waiting for the vehicle to be located, made accessible, unloaded, cooled down, moved to a safe working position, or released by a driver, dispatcher, or site personnel.
- Waiting time may also be charged where PTI must wait for gate access, escort, site check-in, safety orientation, or authorization to proceed.
- PTI will notify the customer when waiting time begins to accrue where it is practical to do so.
11.4 Vehicle access and readiness
- The customer is responsible for making the vehicle accessible to a mobile service vehicle, including reasonable clearance to work around the unit and room to position service equipment.
- The customer is responsible for providing keys, access codes, gate access, and any required site credentials, and for identifying the correct unit.
- Where the work requires it, the customer is responsible for the vehicle being unloaded, uncoupled, cooled down, or otherwise prepared. PTI will identify such requirements in advance where practical.
- If the vehicle cannot be accessed or is not ready, applicable service-call, travel, mileage, and waiting time charges remain payable and the visit may be rescheduled as a separate service call.
11.5 Safe working location
PTI may decline to begin, or may stop, work at any location PTI reasonably determines to be unsafe or unlawful, including where there is:
- Exposure to passing traffic or an unsafe roadside position;
- Unstable, soft, flooded, or excessively sloped ground;
- Severe weather, lightning, extreme heat or cold, or inadequate visibility;
- Hazardous materials, spills, fumes, or an uncontrolled energy source;
- Unsafe premises, inadequate lighting, or aggressive or unsafe conduct on site;
- Insufficient overhead, side, or working clearance to perform the work safely.
- Where PTI stops or declines work for these reasons, service-call, travel, mileage, waiting time, and charges for work already performed remain payable.
- PTI may require the vehicle be relocated to a safe working position before work proceeds. Relocation is the customer's responsibility unless PTI agrees otherwise.
11.6 Roadside limitations
- Roadside service is subject to safe access, the location of the vehicle, what the repair requires, parts availability, and whether the problem is field-repairable.
- PTI does not guarantee an arrival time. Estimated arrival times are estimates only and are affected by traffic, weather, distance, and existing commitments.
- Submitting a request, including through the PTI website, does not guarantee dispatch. Dispatch is confirmed by PTI.
- PTI does not provide towing, recovery, or vehicle transport unless expressly agreed. Where towing is required, the customer is responsible for arranging and paying for it, or for authorizing PTI to arrange it as a subcontracted service under Section 12.
11.7 Parts runs and parts availability
- Because mobile service is performed away from a parts inventory, a repair may require a parts run. Time and mileage spent obtaining parts may be charged at the applicable rates when disclosed on the estimate, work order, or invoice.
- Where a required part is not available locally or must be ordered, the repair may require an additional visit. Charges for the additional visit are handled under Section 11.8.
- PTI is not responsible for delays caused by supplier stock, shipping, backorder, or discontinued parts.
11.8 Return visits
- A return service call is not automatically free merely because PTI previously serviced the vehicle.
- Applicable service-call, travel, mileage, and labor charges may apply to a return visit, including a visit to install an ordered part, to complete work that could not be finished, to perform a wheel retorque inspection, or to address a newly reported condition.
- A return visit is provided at no charge only where it is covered under the PTI Limited Warranty & Refund Policy or where PTI expressly agrees in writing.
- A recurrence of a symptom does not by itself establish warranty coverage. See Section 19.
11.9 Site authorization
- By requesting mobile service at a location, the customer represents that the customer owns or controls the location, or has obtained permission for PTI to enter the location and perform the work.
- The customer represents that it has authority to authorize the work on the identified vehicle, or is acting with the authority of the vehicle's owner.
- The customer is responsible for disclosing site rules, safety requirements, check-in procedures, and any restrictions that apply to PTI's presence or work at the location.
- The customer is responsible for any site access fee, escort requirement, permit, or third-party charge imposed as a condition of PTI entering the location.
- To the maximum extent permitted by applicable law, the customer is responsible for claims arising from PTI being directed to a location where permission to enter had not in fact been obtained.
11.10 Wheel service
- Where a wheel is removed or installed, the PTI Wheel & Lug Nut Retorque Notice applies and forms part of these terms. Wheel fasteners must be inspected and torque rechecked after 50–100 miles of operation, and the vehicle owner or operator is responsible for ensuring that recheck is completed.
12. Subcontracted Services
- When reasonably necessary, PTI may use qualified third parties for specialized services such as machining, programming, towing, welding, alignment, tire service, or electronic repair.
- Authorized third-party charges may be included in the customer's repair charges.
13. Completion Times
- Any estimated completion date or repair time is an estimate only unless PTI expressly guarantees it in writing.
- PTI is not responsible for reasonable delays caused by parts availability, supplier delays, shipping, manufacturer backorders, additional discovered repairs, customer authorization delays, weather, equipment failure, subcontractors, or circumstances outside PTI's reasonable control.
14. Payment
- Unless PTI approves credit terms in writing, all authorized charges are due upon completion and before release of the vehicle or equipment, subject to applicable law.
- The customer is responsible for authorized charges including labor, diagnostics, parts, materials, shop supplies, freight, programming, calibration, service calls, travel, mileage, towing, subcontracted services, applicable taxes, storage, and other authorized charges.
15. Commercial Accounts
- Customers receiving approved credit or payment terms remain responsible for authorized charges according to the terms stated on their invoice or account agreement.
- PTI may suspend credit privileges or require payment before additional work when an account becomes past due.
16. Custody, Storage, and Retained Property
PTI provides mobile service and performs work at the customer's location. PTI does not operate a customer-facing repair facility and does not offer vehicle drop-off, vehicle storage, or parking as a service. This Section applies only in the limited circumstances where PTI takes temporary possession of a vehicle, trailer, or component — for example where a component is removed for off-site machining or repair, where a unit is moved with the customer's authorization, or where PTI otherwise holds customer property.
- Where PTI takes temporary possession of a vehicle, trailer, or component, the customer must arrange collection promptly after PTI notifies the customer that the item is ready.
- Where an item is not collected within a reasonable period after that notice, storage charges may apply at the rate disclosed on the applicable work order, estimate, or invoice, subject to applicable law. PTI will disclose any such rate before charges begin.
- PTI is not responsible for arranging transport of a vehicle or trailer unless expressly agreed in writing.
17. Lien Rights
PTI reserves any mechanic's, possessory, storage, collection, and other lien rights available under applicable North Carolina law for qualifying unpaid charges.
18. Abandoned Property
As noted in Section 16, PTI does not operate a customer-facing repair facility and does not accept vehicles for drop-off. This Section applies only where PTI has taken temporary possession of a vehicle, trailer, or component and the customer does not reclaim it.
- A vehicle, trailer, or component left in PTI's possession after work is completed, after repairs are declined, or after repeated collection requests are ignored may be handled according to applicable North Carolina law.
- Required legal procedures must be followed before PTI sells, disposes of, or otherwise exercises rights concerning abandoned property.
19. Warranty
- Repairs are subject to the PTI Truck Repair LLC Limited Warranty & Refund Policy in effect on the date of service unless different terms are expressly stated on the invoice.
- A recurrence of the same symptom, fault code, warning light, noise, leak, or condition does not by itself establish that PTI's previous repair was defective.
- PTI must be given a reasonable opportunity to inspect a claimed warranty issue before repairs are performed elsewhere.
20. Commercial Downtime and Consequential Loss
- To the maximum extent permitted by applicable law, PTI is not responsible for indirect, incidental, special, or consequential commercial losses resulting from vehicle failure, repair, diagnosis, parts failure, repair delay, or downtime.
- This includes, without limitation, lost loads, lost freight revenue, lost profits, loss of use, driver wages, detention, missed deliveries, contract penalties, rental or replacement equipment, towing, lodging, transportation expenses, business interruption, or third-party customer claims.
21. Limitation of Liability
- To the maximum extent permitted by applicable law, PTI's liability arising from a particular repair or service shall not exceed the amount actually paid to PTI for the specific repair or service giving rise to the claim.
- Nothing in these terms is intended to exclude or limit liability where doing so is prohibited by applicable law.
22. Pre-Existing Conditions
- PTI is not responsible for pre-existing damage, wear, corrosion, rust, weakened fasteners, damaged wiring, deteriorated hoses, brittle components, previous modifications, previous improper repairs, or other existing conditions except where PTI is legally responsible for damage it causes.
- Older, high-mileage, heavily used, commercial, or modified vehicles may experience component failure during otherwise reasonable diagnostic or repair procedures because of their existing condition.
23. Personal Property and Cargo
- Customers should remove valuables, documents, electronics, cargo, tools, and other personal or business property before leaving a vehicle with PTI.
- To the extent permitted by law, PTI is not responsible for loss or damage to property left in the vehicle unless PTI is legally responsible for the loss or damage.
24. Modified Vehicles
- Customers must disclose material aftermarket tuning, programming, electrical modifications, emissions modifications, or other alterations that may affect diagnosis or repair.
- PTI does not guarantee compatibility between repairs and undisclosed or unauthorized modifications.
- PTI may decline any work PTI believes would violate federal, state, or local law.
25. Chargebacks and Payment Disputes
- Customers should contact PTI regarding suspected billing errors or service disputes before initiating a payment dispute when reasonably possible.
- A chargeback or payment dispute does not automatically eliminate responsibility for legitimate authorized charges.
- PTI reserves its lawful rights to contest chargebacks and collect unpaid authorized balances.
